What technology is used to send broadcast emails?

UBC uses an on-premise email distribution tool for broadcast emails, with all data and software hosted on UBC servers.

Why are we using this tool to send broadcast emails?

We invited feedback on the way UBC communicates to faculty and staff through the Open Minds Forum. The quality of broadcast emails was a common theme in the comments we received. To address this feedback, we wanted to find a tool that would support a more engaging email template.

What is the process for requesting and approving broadcast emails?

When I hover my curser over a link in the broadcast email, I can see that it is being redirected to broadcast.ubc.ca…Why is this?

In order for us to continually improve the broadcast email system, we measure the number of people who open the messages and those who click any website links. We do this through a system that seamlessly takes the user along a specific path to get to their desired website. This is why you may see broadcast.ubc.ca when your cursor hovers over the link.

During this process the user experience is not impacted. If you click on a link you will be taken to that website.

I am receiving the same broadcast email more than once. Why is this?

Although every attempt is made to reduce duplication in messages sent and received, it is possible that individuals may receive multiple copies of broadcast messages due to forwarding, aliases, and other email issues.

Due to cross-postings, job classifications, and other related issues, it is possible that some overlap between groups will occur (e.g., some faculty members may receive a broadcast email sent to the staff audience, and vice versa).

The faculty and staff audience is identified by the Human Resource Management System (HRMS) database. It is possible that those at other locations such as hospitals, Robson Square, Victoria, and overseas may receive a broadcast email destined for Vancouver’s Point Grey campus.

Can I unsubscribe from broadcast emails?

Broadcast emails are the only email channel that goes to all faculty, staff, and students. We make every effort to ensure that information sent out through this channel is appropriate to our various audiences.

While the broadcast email system allows recipients to unsubscribe, UBC highly recommends that faculty, staff, and students remain subscribed to broadcast emails in order to ensure they receive key updates, including updates about campus safety.

If you still wish to unsubscribe, you can do so by following the ‘unsubscribe’ link at the bottom of the broadcast email.

I am a faculty or staff member, why am I receiving broadcast email messages in my personal account?

You may have submitted your personal email account with UBC Human Resources. To update your email address on record, log into the UBC HR Faculty Staff Self-Service portal with your CWL account and update your “Business email” field with your UBC email address.
